A practical path to your first finished record
Start with your login and the correct workspace, then choose the workflow that matches your work. These quick tips connect the existing account, team, contact, contractor, and property-inspection guides so you can get started without guessing the order.
- Choose workspace
- Set up people & details
- Document the work
- Review & share
Before you begin
Use an email address you can access. If you were invited to a team, use the same email address as the invitation. The workspace name shown in the header determines where new records are saved.
The workspace-name menu switches between the personal and team workspaces you can access. Workspace → Contractor Edition or Property Inspections selects the product area within the workspace you are already using.
- Team member
- Someone who signs in to your team workspace with the role they were assigned.
- Contact
- A person in the workspace Address Book. Adding a contact does not grant them team membership or editing access.
STEP 1 OF 6
Activate your account or accept the team invitation
Create your FieldNovi account and use the activation email to activate it. Check spam or junk when an email is missing. Follow Create and activate an account for registration and activation help.
If you are joining a team, use the invited email address, activate your account, then return to the invitation and accept it. You do not need a paid personal subscription just to join an existing team. See Invite and join a team.
STEP 2 OF 6
Confirm where your work will be saved
Check the personal or team workspace name in the header before adding contacts, properties, projects, or inspections. Use the workspace switcher to select the intended workspace.
Then open Workspace → Contractor Edition or Workspace → Property Inspections. Changing the product area is not the same as switching from your personal records to your team’s records.
Helpful tip When a record seems to be missing, check the selected workspace before creating it again.
STEP 3 OF 6
Check business details, branding, and contacts
In the correct workspace, review Settings and the business information and logo used on your reports. Use the displayed save or upload controls. See Dashboard and workspace settings.
Open Contacts and search before adding a new entry. Confirm names and email addresses so report recipients can be selected correctly. Use Manage contacts for the full process.
Invite actual teammates through team management, not through the Contacts directory. Available settings depend on your role.
STEP 4 OF 6
Follow the setup order for your type of work
For contractors: open Contractor Edition, create or choose the customer, then create or choose the project / job. Add a Site Visit for field observations or a Punch Walk for individual issues and follow-up work.
For property inspections: create or choose the property, assign property contacts, set up the relevant occupancy and tenant contacts, then create the inspection. Move-In and Move-Out require an occupancy. Follow Property Inspections: setup to sharing.
Helpful tip For training, start with one clearly named test record. Keep real customer records separate and check the workspace before creating anything.
STEP 5 OF 6
Document clearly and confirm your work is saved
Write clear notes and attach evidence to the record it describes. Use a descriptive title and enough location information for someone else to understand the work.
In Property Inspections, use Section Photos for overall views and checklist-item media for defect evidence. You can assign a snapshot from a section’s 360° photo to the matching item. Watch the remaining-item count and wait for Inspection changes saved.
Choosing photos does not upload them. Select Upload and confirm they appear in the gallery. On other forms and workflows, use their displayed Create or Save controls; do not assume every FieldNovi screen autosaves.
Helpful tip Review an initial report yourself before sharing it. This is the fastest way to spot missing context, the wrong property or job, or an image attached to the wrong item.
GOOD HABITS
Best practices
- Check the workspace first. Personal and team records are separate.
- Use one contact entry where possible. Search the Address Book before adding someone again.
- Keep general views and defect evidence organized. Choose the section or item that matches the image.
- Wait for saved and uploaded confirmation. Neither selecting a file nor reaching zero items left completes an inspection.
- Give appropriate access. Contacts receive reports; team invitations grant workspace membership.
- Keep access private. Do not put passwords, verification codes, or payment details into support messages.
QUICK ANSWERS
Common questions
I joined a team. Where should I create records?
Use the team workspace named in your invitation and confirm its name in the header. Your personal workspace is separate.
Do I need to invite an owner or tenant to my team to send a report?
No. Add the person as a contact and associate them with the relevant property, occupancy, or project. Use the report’s sharing controls to provide the intended read-only access.
Which workflow should I learn first?
Start with Site Visit for contractor field documentation, Punch Walk for a list of individual issues, or Property Inspections for room-by-room property condition records and baseline comparisons.
Does every screen save automatically?
No. The Property Inspection checklist has autosave for checklist fields and section notes. Other forms have their own Create, Save, or Upload controls. Always check the result before leaving.
Where do I review my workspace plan?
Confirm the workspace, then follow Manage subscription and billing. Team billing controls depend on your role. Use the current plan details shown in your account rather than example screenshots.
